MRN and filing dilemma

edited May 2016 in HIM Talk Archive
Has anyone had the problem of your medical record number increasing by one digit? How would you handle the filing? Our facility is in the process of implementing the registration in our EMR, which will and has created seven digit medical record numbers. We currently are set up for a six digit filing system. Needless to say, I was not included in those meetings and was unaware of this. Thank you for any suggestions you might have.

In TDO, we keep the # by 2's, so when we were seeing the need to increase from 6 digits, we went to 8 digits. We still file in TDO.

Same at Winthrop. When we expanded the number range we went from 6 numbers to 8 and filed by 2's. Made it a lot easier for the HIM Department.

Currently, we file 3 and 3 in TDO. The seventh digit is what is making it challenging. If I change to 2-2-3, my whole filing system changes including the offsite warehouse. How did you manage the file change where some are by 2 with six digits and some have the 4th section of two digits? Is there a whole new section with the new 8 digits and an old section with the 6 digits?
    Thank you.
